Studies that are deemed eligible for adoption on to the National Institute for Health Research’s (NIHR) Research Delivery Network (RDN) Portfolio are obliged to provide feedback on study metrics and recruitment. The RDN use this data to monitor study performance across the UK. This short 6 minute video gives an overview of the importance of providing this feedback, what is recorded and how this is organised:
As the video indicates, different types of studies record research activity data in one of two ways; either directly into the Central Portfolio Management System (CPMS), or into a Local Portfolio Management System (LPMS). The LPMS system used at NELFT is EDGE.This next short 4 minute video by the CRN helps explain the relationship and flow of data between these systems.
Once your study is adopted onto the NIHR Portfolio, the NIHR RDN should send a ‘Minimum Data Set’ study details request form to the Chief Investigator and the Project Manager. If you have not received this, please contact supportmystudy@nihr.ac.uk stating the organisation that you represent. This information is added to CPMS by the NIHR RDN, and access to the study is provided to the study team. When all regulatory approvals are in place and your first study site is open, you will need to log into CPMS and update the study record with the ‘open to recruitment’ date. This will enable recruitment activity data to be recorded for your study.
There are two ways to update CPMS with recruitment activity data. Your study will use either a manual upload or an LPMS upload, and it’s important to know which method applies so participant activity can be updated in a timely manner.
If your study uses manual upload, you will need to enter recruitment activity directly into CPMS. A step-by-step guide is available under the ‘Submit research activity’ tab within CPMS.
If your study uses LPMS upload, recruitment activity is recorded directly in the LPMS (EDGE at NELFT) by individual study sites. This information is initially recorded as provisional and will then need to be confirmed in CPMS.

For all ‘LMPS upload’ studies, provisional recruitment will need to be confirmed in CPMS. The Sponsor or their representative (e.g. Project Manager) will need to log into CPMS each month and confirm that the provisional recruitment activity recorded in the LMPS, or EDGE is accurate.
Confirming recruitment activity is a crucial yet often overlooked step in the process. If your study has Service Support or Excess Treatment Costs associated with it, this funding will not be released until the research activity is confirmed as accurate in CPMS.
While it is important to maintain records of recruitment, if your study is an academic project or non-funded research, you do not need to record recruitment activity in LPMS (EDGE) or CPMS. If you have any questions, please contact us.
